Skype for Business Checklist

For use in a meeting room:

As soon as the meeting time, date and room has been agreed, you should book the room.

Room check

This should be done as soon as you are aware that the meeting is taking place and at least 1 week before the event:

  1. Has the room been booked?
  2. Has the room been booked to allow 30 minutes of testing before the meeting starts?
  3. Is the room Skype for Business enabled?  If you are unsure please contact cls.avsupport@hud.ac.uk or see our list of current Skype for Business installed rooms.
  4. Have you contacted CLS AV Services for assistance?  If not please complete the Skype for Business Booking form and return to cls.avsupport@hud.ac.uk

For use at your own desk:

At least 1 week before event:

Equipment check

  1. Do you have Skype for Business installed on your PC?  If not please contact it.support@hud.ac.uk (Ext 3737)
  2. Do you have a webcam (if required)? 
  3. Do you have a headset with microphone?
  4. Have you tested your equipment using Skype for Business?  If you are unsure how to do this, please check our Audio setup and making calls and Video setup pages.

If you do not have access to a webcam or headset, please contact cls.avsupport@hud.ac.uk

Participant check

At least 1 week before event:

  • Has a Skype for Business meeting request been sent to all participants?  This is very important - not just to confirm that they will attend, but also to test the link beforehand.  If you are unsure please look at our Online Meetings page.

 Please note:  If participants do not test their equipment and the link we send, we cannot guarantee that they will be able to join the meeting.

Participants can test everything in advance by clicking "Join Skype Meeting" within their email invite at any stage before the meeting to ensure everything runs smoothly.  This is important to do before the event because some computers will require administrator rights to install the client which enables the meeting to take place.  They will also be able to ensure that their equipment works as expected.  Instructions to do this are on our Audio setup and making calls and Video setup pages.

At least 1 day before event:

  1. Have all participants confirmed that they have tried to access the meeting? If not, please re-email the participant as this will ensure that they have downloaded the client prior to the meeting.

Immediately prior to the event:

  1. Ensure that your presence is set to "Do not disturb" within Skype for Business.
  2. Ensure that your email is closed.
