Events

The Internal Events Manager (IEM) is here to help departments and individuals across the University on how to plan and execute a successful event. If you are a member of staff organising an event on campus and need any support or guidance please contact s.daley@hud.ac.uk

Things that the IEM can help you with include:

  • The internal booking of the Student Central Level 6 boardroom and OA4/01
  • Working closely with the Internal Communications Officer to Publicise University events through the Online Events Calendar, Student and Staff news and external channels when necessary.
  • Ensuring the correct processes are followed when VIP’s are on Campus.
  • Working closely with the Universities central and school Marketing teams to ensure an integrated and coordinated approach to event promotion
  • Working closely with the timetabling team to place events in the best available spaces.
  • Working closely with the Estates teams to ensure timely and coordinated delivery of events on campus

If you are a member of University staff and are wishing to plan an event on Campus a full checklist has been produced to help you ensure you have everything you need. EventsChecklist.

If you are from a school, you will have an internal Marketing and Events team to help you locally with your event. These are led by;

Important information for ALL staff organising an event on campus

The first thing you must do before publicising any event is to confirm your booking of the spaces you need for the event.

All events must be logged in the Campus Events Diary on SharePoint and information kept up to date as the planning process continues. This can be found here;

https://unishare.hud.ac.uk/uniwide/events/Lists/University%20Events/calendar.aspx

All external speakers to the University must be logged via the External Speaker log by the organiser of the event (this is a requirement placed on us by external regulation). This should be done no less than 2 weeks prior to the event. This can be accessed via the events diary on SharePoint or directly here;

https://www.hud.ac.uk/cgi-bin/external-speakers/log-speaker.pl
