What is PAPA?
PAPA is the system used by the University for the costing and pricing of all external research, innovation and knowledge exchange proposals that target external funding. It also provides a workflow through which costings are approved internally before proposals are submitted to external funders. PAPA connects directly to Unit 4, the University’s main financial system, to maximise efficiency and accuracy.
What are the benefits of using the PAPA system?
- PAPA connects with the University’s payroll system to provide accurate salary costs.
- Provides continuity and seamless integration, from the development of the grant applications in the pre-award phase through to post-award when projects are up and running.
- The multi-user capability of PAPA allows university staff to access data relevant to their role and allows Principal Investigators to view costings being developed for their applications.
- Provides an approval workflow and records internal authorisations of costing and pricing for external proposals.

As the PAPA system contains sensitive data, access must be requested by all prospective users. All user accounts need to be approved by a line manager and accompanied by a signed data protection agreement.

What is Customer Relationship Management (CRM)?
Customer Relationship Management (CRM) systems are commonplace in companies and are becoming more commonly used in universities to help manage business relationships with external organisations and partners in a more professional and consistent manner.
CRM systems are designed to compile all types of interactions with external people across different points of contact, which could be anything from meetings and phone calls to networking events. The CRM system aims to provide users with a full picture of relationships with external organisations and provide a constant flow of reliable and quality information for staff, particularly those in business facing roles.
Why do we need it?
Individual departments and staff within the University are managing their own relationships with externals which could potentially lead to situations where we end up with multiple relationships with the same partner but no linkage between them.
By having a centralised CRM system, it enables us to share key information across the University to help us make the most out of our relationships with external partners and avoid situations which jeopardise the University’s reputation.
Microsoft Dynamics 365 at the University of Huddersfield
Microsoft Dynamics 365 is the CRM system adopted by the University of Huddersfield. It has been customised specifically to meet the needs of our users and enable us to increase the effectiveness in how the University engages with the external world.

Accessing Microsoft Dynamics 365
Licenses are limited and access is on a permissions basis. If you think you would benefit from holding a licence, contact the Business Development Team - business@hud.ac.uk.
We will provide you with an initial training session and access to the test environment, before setting you up with a licence once your training has taken place. Each user is provided with their own unique URL, enabling them to access the live system.

What is Pivot-RP?
Pivot-RP is a comprehensive online database of research funding opportunities from UK, European and International funders across all disciplines. The University holds a licence that provides all academic staff with a Pivot-RP profile and enables them to create a bespoke funding opportunity searches and access a broad range of guidance materials and higher education news articles.
What features are available in Pivot-RP?
- Pivot-RP allows users to create bespoke funding opportunity searches based on criteria such as, academic discipline, keywords, funder and grant value.
- Allows users to set emails alerts highlighting the latest opportunities.
- Connects to your Orcid account and automatically suggest funding opportunities relevant to your profile.
- Provide suggestions of potential collaborators relevant to your funding application.

Scopus / SciVal
The University has invested in databases from Elsevier which are available across the institution. To log into either of these systems with your University credentials:
- Click on the Check access button
- Click Access through your organisation
As with any bibliometric tool, data from Scopus and SciVal should be used responsibly and within context. For queries on responsible use of metrics and using these tools, please contact oa@hud.ac.uk.
Scopus
Scopus is the world’s largest abstract and citation database of peer-reviewed literature, containing over 100 million records.
It can be used as a simple literature searching tool, with results that can easily be sorted and refined. Researchers can also build and save ‘advanced’ searches customised to their needs.

SciVal
SciVal is a research analytics tool that can be used to retrieve output data and metrics on groups, institutions, countries, publication sets, subject areas and more. It relies on the same output database as Scopus, and retrieves policy and patent data from other sources. It is a powerful tool for visually presenting and dissecting research data.
SciVal can help with:
- Gaining insight into research activity through visualisations, dynamic reports, maps, and more
- Mapping collaboration networks across institutions, sectors, and countries, and identifying potential new collaborators
- Analysing research trends, including ‘topics’ that are gaining prominence within a field
