What is PAPA?

The Pre-Award/Post-Award system aka PAPA is an add-on to the main financial system Unit 4 (formerly Agresso). This is the main tool for creating and managing approval for costings which are a required element of any proposal involving external funding for research or enterprise activity.

What are the benefits of using this system? 

• It connects with finance files like payroll to get accurate base information to work out salary costs consistently and minimises errors that potentially arise during transmission of data from one system to another.
• It provides continuity and seamless integration from the development of the application to the grant management process when applications are successfully funded.
• The multi-user capability of the system allows different users to access data relevant to their role and allows Principal Investigators to view costings being developed for their applications.
• The system also keeps a record that the processes required for school authorisation of an application have been completed. These include Peer review and Dean approval.

As the system contains sensitive data, access must be requested by the potential user, approved by their line manager and accompanied by a declaration by the user to comply with the data protection rules in force at the university.

What is Customer Relationship Management (CRM)?

CRM is all about managing and developing relationships with customers of the University in a more professional and consistent way. We believe that CRM is not just about a system but needs to be an approach to working with Businesses where we put the customer at the centre of the relationship.

A CRM system will support this by bringing information from around the University to one centralised point of truth, so that the University can understand how it works with the external world and work more efficiently.

Why do we need it?

The University understands the importance of growing the Research and Enterprise agenda and realises that Business and Community Engagement (BCE) is essential to its success. The CRM system will provide users with a full picture of relationships with external organisations and will provide a constant flow of reliable and quality information for staff.

In identifying the need for a CRM system, we have developed Microsoft Dynamics to enable us to increase the effectiveness in how the University engages with external organisations.

Accessing Dynamics

Please contact the CRM Team if you would like to access the system.

The CRM Team will provide you with a training session along with access to the test system and manual. Once your training has taken place you will receive your unique URL, where you can access Dynamics.

Training Sessions

Training sessions are available throughout the year for individuals and teams. Refresher sessions are also available as required, to arrange a session please contact the CRM team.

What is Pivot RP?

Pivot-RP is a funding database maintained by an external supplier which provides access to a wide variety of funding opportunities available for academics. The university has purchased a subscription for all academics to create an account.

What features are available?

• Create lists of funding opportunities based on keywords of your choosing.
• Assemble reports of funding opportunities based on Funder name, Maximum Amount of grant, Deadline date, academic discipline, keywords and other criteria as well as a mix of the preceding.
• Set up reminders and set up email to view weekly changes to the saved reports and send to selected contacts.
• When connected to your orchid account the software will utilise that information to automatically suggest funding opportunities relevant to the details in orchid.
• The software will also give suggestions of potential collaborators in its database.
