Cycle2work Scheme

The University of Huddersfield provides access to several cycle to work schemes. These schemes allow members of staff to purchase bikes and make Tax and National Insurance savings of up to 47% of the bikes value. Each scheme has an upper spend limit and all deductions are made over a 12 month period.

The bike must be primarily be used for commuting journeys but it can also be used for additional leisure journeys. As well as covering the purchase of traditional push bikes the schemes also include e-bikes and some safety accessories.

All employees are invited to participate in the cycle to work schemes, however, it may be that your total pay prevents you accessing your preferred value of cycle and safety accessories. Should you be impacted by the legislative limits then the Payroll department will contact you with a revised upper limit.

Halfords Cycle2Work: How to Apply

Visit your local Halfords store or have a look at the Halfords Cycle2Work Exclusives to decide the total amount that you would like to apply for. This can be up to £2000 and can include a bike and all related safety equipment.
If you would like a bike outside of the Halfords range please call their special order line on 0345 504 6444 to find out your most local partner independent stores.
Sign up by visiting Halfords cycle2work and click “Apply now” using employer code HUDUNIC2W
You will then need to complete 'Your Details' and then confirm your email using the code sent by Halfords.
You then need to complete further details about yourself including your payroll number (this can be found on your ID Badge, it is the first seven digits NNNNNNNXXX).
You need to submit the total value you wish to apply for between £100 and £2000 along with your pay frequency (this will be monthly). A prediction of your savings will be shown before you proceed to the Pre-Contract information agreement.
You will need to read the Pre-Contract agreement and agree you have understood them, you will then get a Hire Agreement you also need to read and agree.
Finally you will get a Salary Sacrifice Agreement you need to read and agree, once this has been complete your application will be sent to the University Payroll to check and approve.
Once approved you will receive an email containing your LoC!

Print your LoC and take it to your local Halfords to collect your brand new bike and accessories! (Please remember to provide a valid form of I.D along with your LoC)
Deductions will start in the next available payroll period.

Vivup Benefits: How to Apply

Access the Vivup Benefits
Register for the scheme, selecting University of Huddersfield as the organisation.
Search on-line for the available bikes or bike shops that use the scheme.
Enter the ‘Bike Quote’ once you find the bicycle that you wish to purchase and submit for approval.
The Payroll team will review your application and approve it subject to the scheme limit of £2500.
You will receive confirmation of the approval of your application and details of how you can collect or receive delivery of your chosen bike.
Deductions will start in the next available payroll period.

The Green Commute Initiative (GCI) – How to Apply

The first step is to choose your new bike and any accessories you might need.
The next step is to submit your application. You will need to use UNIOH as the employer code.
Your request will be sent to the HR department for approval against the scheme limit of £4000 and your monthly earnings.
When your application is approved GCI will process your application and confirm the order with the bike shop. GCI will email you two documents for electronic signature; the Hire Agreement (3 months) and the Salary Sacrifice agreement. Please sign both of them. Until they receive the signed documents, nothing further will happen with your application.
The University will now set up the salary sacrifice deductions to start from the next available payroll period. These will last for 12 months and depending on your tax rate, you’ll save either 32%, 42% or 47% on the cost of the package.
Due to HMRC rules GCI must hire the bike to you. The Hire Agreements are always for three months. After that, GCI will write to you and offer you a free-of-charge loan of everything for a further 5 years and 9 months which takes the bike to 6 years old. This means you continue to benefit from the tax break with no penalties from HMRC.
After the loan period, you can buy the bike from GCI for £1. The £1 charge is so that GCI can demonstrate to HMRC when the transfer of ownership took place which protects you from any tax claim from them. In practice, the bike is yours from day one.
